What you can send: campaigns and journeys
Campaigns
A campaign is a one-off send to a segment, with any segments you want left out, sent now or scheduled, and you can pause, resume or cancel it.
- A readiness checklist. It shows what is missing before you send, and links get UTM tags.
- Who will be skipped, and why. A preview counts the people left out for each reason: no consent, on a do-not-contact list, over the frequency cap, a duplicate address, or past the month's allowance.
- Send-time optimisation. Each person can get the email at the hour they usually open or read your messages, once they have done so at least three times; otherwise your workspace's busiest hour, then 10 a.m., in your workspace's time zone.
Journeys
A journey is an automated flow. It starts on an event, when someone joins or leaves a segment, or when you add people by hand, and its steps include waits, conditions, random splits, emails, WhatsApp templates, webhooks and email alerts to a teammate. The detail is on email automation.
There are 6 ready-made journeys: welcome, abandoned cart, browse abandonment, post-purchase thank-you with a review request, win-back, and lead nurture. Each starts with email steps, you can add a WhatsApp step, and you write the content. The ready-made abandoned-cart journey starts when someone adds to cart, which needs a line of tracking code on your store; switch its trigger to started checkout and it runs from your Shopify or WooCommerce connection alone. Either way, the email does not list what was in the cart.
The editor
Emails are written in an HTML editor with a subject line, preheader, personalisation variables and a starter layout, with desktop and phone previews, test sends and autosave.
Customer profiles and segments
Each customer has one profile. Zappio matches people by your own customer ID first, then email, then phone, then an anonymous visitor ID, and keeps a record of every merge. When two profiles disagree on an email address, they are not merged; a person on your team decides. Profiles can be erased on request.
Profiles fill from CSV imports, a browser snippet and tracking API for site events, your store connections, and, from the day email is switched on, people who message you on WhatsApp and the leads and deals in Zappio's CRM.
Segments combine rules on profile fields (custom ones included), events in a time window, consent and other segments, with AND and OR. They update as events arrive, and there are 10 ready-made segments to start from. Three predicted fields, lifetime value, churn risk and next order date, are predicted from each customer's order history and can be used in any segment.
Signup forms and popups
Forms collect subscribers on your own website, in four kinds: inline, popup, slide-in and bar. Each can show immediately, after a delay, on scroll, or when the visitor is about to leave, and can be limited to the pages you choose. The consent wording the visitor saw is stored with their signup, so the profile shows what that person agreed to.
How email and WhatsApp work together
In Zappio, the two channels share:
- One profile. Email opens and clicks, WhatsApp sends, reads and replies from campaigns and journeys, and orders build up on the same customer record.
- One consent log. Email and WhatsApp consent are recorded separately, and each is checked before a marketing send on that channel.
- One journey. Email and WhatsApp template steps sit in the same flow.
- The same frequency caps on both channels. One per-person limit is checked before every marketing email and every WhatsApp template a campaign or journey sends. Each channel is counted on its own, so by default a person can get 1 email and 1 WhatsApp template in a day.
Here is how an online shop on Shopify would use it. Someone starts checkout and does not finish. The journey sends a reminder email after an hour, then waits a day for an order. If none arrives and the person has agreed to WhatsApp messages, it sends an approved WhatsApp template. Shopify passes on email consent, not WhatsApp consent, so that agreement comes from a Zappio signup form with a WhatsApp box, an import that includes it, or your team setting it on the profile.
Replies differ by channel: a WhatsApp reply lands in the shared inbox for your team, and an email reply goes to the reply-to address you set. Meta's charge for the WhatsApp template is paid to Meta directly at its published rates, with nothing added by Zappio; see WhatsApp API pricing.
Sending and deliverability
Zappio's shared sending
Mail goes out from Zappio's sending address with your business name. Set a reply-to address, because replies go to the reply-to you set. A workspace can send up to 1,000 marketing emails a day this way, and anything above that carries over to the next day.
Your own domain, through your own mail service
Mail goes out from your own domain, signed with DKIM, through your own SMTP server or Mailgun. A DNS wizard gives you the SPF, DKIM and DMARC records to add and checks them, and a new domain warms up from 200 emails a day to 50,000 over about two weeks.
Controls that keep a list healthy:
- One-click unsubscribe. Marketing emails carry one-click List-Unsubscribe headers (RFC 8058), and each person has one on/off switch for marketing email.
- An automatic footer. It adds your business name, the postal address from your brand settings and an unsubscribe link, unless your HTML already carries its own unsubscribe link.
- Suppression lists. Per workspace and per channel, plus a platform-wide list of hard bounces.
- Bounce and complaint handling. A hard bounce or complaint stops all mail to that address, and once 100 emails have gone out, a one-off campaign pauses itself if bounces pass 5% or spam complaints pass 0.1%.
- Frequency caps and quiet hours. By default each person gets at most 1 marketing email a day and 3 a week; anyone over the cap is left out of that send. Quiet hours hold marketing emails and WhatsApp templates until they end.
- Results by mailbox provider. Sends, opens, clicks, bounces, complaints and unsubscribes are split by Gmail, Outlook, Yahoo and the rest, so a problem with one stands out.
Reports and revenue attribution
Each campaign reports sent, bounced, failed, opened, clicked, complaints, unsubscribes, revenue and orders. Journeys show counts at every step, and there are funnels, retention cohorts, results by mailbox provider, goals, and a weekly email digest once you set a goal.
Revenue is attributed last-touch: one message gets the credit for a sale. By default a sale counts for an email clicked in the last 5 days, an email opened in the last day, or a WhatsApp template from a campaign or journey read or replied to in the last 3 days. The two email windows can be changed for your workspace; the WhatsApp window is fixed.
What connects
- Shopify and WooCommerce. Orders, checkouts and customers come in, and WooCommerce also brings in your products.
- ERPNext. For businesses already on it.
- A webhook mapper. It has presets for Razorpay, Stripe, PayTabs and Typeform.
- CSV import. Contacts and past orders.
- Google Analytics 4. Events export one way into GA4.
These are set up with you, not self-serve. Products re-sync from each WooCommerce store every 6 hours, and when a price drops or an item is back in stock, an event fires for people who viewed, carted or started a checkout for that product in the last 90 days, so a journey can email them. WhatsApp-side connections are on integrations.
Is it right for you?
Zappio email suits you if:
- You already talk to customers on WhatsApp. Email joins the same profiles, consent log and frequency settings.
- You sell on Shopify or WooCommerce, or run on ERPNext. Orders and checkouts feed segments and journeys without exports.
Pick a more mature email tool today if:
- You need anything under Coming next today. None of it ships yet.
- You want SMS, app push or RCS in the same flows. Zappio's journeys send email and WhatsApp only.
- You need multi-touch attribution, dedicated sending IPs or inbox-placement tests. Zappio attributes revenue last-touch.
- You need double opt-in or a preference centre with topics. There is one on/off switch for marketing email.

Email is priced for the size of your list — tell us how many contacts you have and we'll quote. Allowances per plan are in the questions below.
For WhatsApp, Standard is ₹4,000/month on a yearly term, or ₹5,000/month billed quarterly, plus 18% GST, and Premium is ₹8,000/month on a yearly term, or ₹10,000/month billed quarterly, plus 18% GST. Enterprise is quoted for your business. Every term is on pricing.
Email marketing: questions people ask
Can I send from my own domain?
Yes, through your own mail service: your SMTP server or Mailgun. Mail is signed with DKIM, a DNS wizard gives you the SPF, DKIM and DMARC records to add and checks them, and a new domain warms up over about two weeks.
How many emails can I send?
Once email is switched on, the app enforces an allowance per plan, counting marketing emails per calendar month: 10,000 emails and 2,500 profiles on Standard, 100,000 and 25,000 on Premium, with packs of 2,500 profiles or 5,000 emails for more. Shared sending also has a limit of 1,000 marketing emails a day per workspace; the rest carries over to the next day.
Is there a drag-and-drop editor?
Not today. Emails are written in an HTML editor with personalisation variables, a starter layout, desktop and phone previews, test sends and autosave. What is planned is listed under Coming next on this page.
Do you have AI subject lines?
No. You write the subject line, preheader and copy yourself; send-time optimisation and the predicted fields work from each customer's own history.
Can one flow send an email and then a WhatsApp message?
Yes. A journey can send an email, wait for an order with a timeout, and then send an approved WhatsApp template, with consent and a frequency cap checked on each channel before each send. More on email automation.
Do you handle unsubscribes and bounces?
