WhatsApp Business app vs WhatsApp Business API: which one your UAE business needs

Zappio · Sep 12, 2026 · 8 min read

Three products share one name, and that is where the confusion starts. Ordinary WhatsApp is for personal chats, the free WhatsApp Business app suits one owner working from one phone, and the WhatsApp Business API is for a team that needs several people on one number with messages that send themselves. Most UAE businesses arriving at this question should stay on the free app, and this post is honest about the day that stops being true.

Tell the three apart in sixty seconds

  • Ordinary WhatsApp. The green app everyone already has. Personal chats. Free. No business profile, no catalogue, no labels.
  • The WhatsApp Business app. A separate free download from the App Store or Play Store. It adds a business profile, a catalogue, labels, quick replies, a greeting message and an away message. It runs on one phone.
  • The WhatsApp Business API. Not an app at all. Your number is registered on Meta's platform and worked through software such as Zappio. Several staff share the one number, and your systems can send messages without anyone tapping send. Meta charges for each delivered template message.

The short rule is this. The first two are apps you tap. The third is a number your software drives.

What the free app gives you, and what it costs to send

It costs nothing. The download is free and every message you send from it is free. For a Deira trading company where the owner answers every enquiry from one phone, that is often the right answer for another two years.

Here is what you get for nothing.

  • A business profile with your address, trade name, opening hours and website.
  • A catalogue, so a customer sees prices without you retyping them.
  • Labels such as New enquiry, Quoted or Delivered, to sort a long chat list.
  • Quick replies, so a saved answer goes out with a two-character shortcut.
  • One greeting message for first-time senders, and one away message for hours you are shut.
  • A wa.me link and a QR code for the shopfront. Our free QR code generator makes one you can print.

That is a genuinely useful set of tools. Plenty of businesses never need more than this.

The five ceilings, and the day you hit them

  • One account, one identity. You can link companion devices and use the web version, but everyone signs in as the same business. Nobody can be assigned a chat, nobody can leave a private note, and you cannot see who replied or how long they took.
  • Broadcast lists only reach people who saved your number. This surprises almost everyone. A broadcast list also caps at 256 recipients, so a list of 2,000 customers means eight separate sends. Sending to many people is the job the API was built for.
  • One away message for every situation. The same text answers a Sharjah car showroom's service enquiry and its finance enquiry at 11 p.m. on a Friday.
  • Nothing sends itself. An order update, a service reminder or a renewal notice goes out only when a person remembers and types it.
  • The phone is the business. If it is lost, stolen or leaves with a staff member, so do the conversations. Nothing connects to your accounting package, your store or your booking sheet.

How to convert a personal number to a WhatsApp Business account

If the number is brand new, install the WhatsApp Business app and register it like any other number. Converting a number you already use personally takes five minutes.

  1. Back up your chats first. Google Drive on Android, iCloud on iPhone. Do this before anything else.
  2. Install WhatsApp Business from the App Store or Play Store on the same phone.
  3. Open it, accept the terms, and enter the same mobile number. Verify with the code sent by SMS.
  4. Accept the offer to move your account and chat history across.
  5. Fill in the business profile. Name, category, address, hours and website.

Your chats, media and groups come across. Your display name becomes the business name, and people see a business account label on your profile. Ordinary WhatsApp then stops working on that number on that phone, so one number is either personal or business, never both. If your family chats live on that number, put the business on a second SIM instead. And no, there is no blue tick on WhatsApp. The verified badge is green, it is applied for separately, and it is not automatic on any plan.

What changes on the API

Your number stops living inside an app. It sits on Meta's platform, and you and your staff work it through a browser.

  • Several people answer one number. Chats are assigned, history stays with the contact, and a handover leaves a trail. That is what a shared inbox is for.
  • Messages leave on an event, not on a memory. Order shipped, service due in 30 days, invoice overdue. This is the whole category of WhatsApp automation.
  • Templates replace free typing outside the window. Anything sent more than 24 hours after the customer last wrote must use a template Meta approved. Replies inside that 24-hour window are free until 30 September 2026, and free from 1 October 2026 for the first 1,000 service messages delivered per business phone number each month.
  • Instagram DMs and Messenger join the same queue. That is a Standard-and-above feature, not something every plan carries.
  • The number can stay in the app as well. Through what Meta calls coexistence, a number already on the Business app can keep working in the app and connect to the API too. Meta decides which numbers qualify.

What it costs in dirhams

Two costs, and they are separate.

The software is a subscription. Zappio Standard in the UAE is AED 231/month on a yearly term, or AED 289/month billed quarterly. The plans page holds the detail.

Meta's charges are per delivered template message; you pay them to Meta directly, and Zappio adds no markup. In the UAE that is about eighteen fils for a marketing message until 30 September 2026 and about twenty-one fils from 1 October 2026, with a utility message about six fils throughout, at the 3.6725 dirham peg. The rate card has the exact figures and the rules around them.

Here is an illustration, not a measurement. Suppose a Jumeirah clinic sends 1,000 appointment reminders and 300 offers in a month. The reminders are utility messages at AED 0.0576, so AED 57.60. The offers are marketing at AED 0.1832 until 30 September 2026, so AED 54.96, and AED 0.2115 from 1 October 2026, so AED 63.45. That would be about AED 113 to Meta until September and about AED 121 after that, on top of the subscription.

AED plans are invoiced from India as a zero-rated export, so no Indian GST is added. Taxes in your own country are not included in the figures above.

Stay on the free app if

Most people reading this should. Be honest about which list you are on.

  • One person answers every message, and that person is you.
  • You send a few hundred messages a month and you are happy typing them.
  • Your customers save your number, so broadcast lists actually reach them.
  • Nothing bad happens when nobody replies until Saturday morning.
  • You do not need order updates, reminders or renewals to leave on their own.
  • No other system needs to know what was said in the chat.
If four of those six are true, the free app is the correct choice and the API is an expense with no return. Come back when two of them stop being true.

Move to the API when

  • Two or more people must answer the same number, and you need to know who did.
  • Your office closes at midday on Friday but your showroom trades all Saturday, and messages still need answers.
  • A message has to go out on an event, every time, without anyone remembering.
  • You need to reach customers who never saved your number.
  • You want Instagram and Messenger answered in the same queue as WhatsApp.
  • Losing a phone must not lose the customer history.

What setting up involves

There is no self-serve signup, and there is no button that does this at 2 a.m. A person from our team connects your number, submits your first templates, and shows two of your staff around. Use a fresh number, or migrate the one currently in the Business app. If you migrate, back up and warn your customers first, because the app goes quiet the moment the number moves.

Zappio is made by TABSYST, with offices in India and Dubai. Support runs in Gulf hours, and our numbers are on our contact page. If you would rather hand the campaigns to someone, see WhatsApp marketing in Dubai.

If the free app still covers you, keep it. If you have read the two lists above and landed on the second one, get set up free in 24 hours. Setup costs nothing and takes about a day. Standard comes with a 14-day free trial, and connecting your number is free with no card.
